Hire a virtual assistant, or automate the admin?

Most small service businesses reach the same point: enquiries, quotes and follow-ups are eating the owner's evenings. There are two ways out. Pay a person to do the admin, or set it up so the repeat steps run themselves. Here is how to tell which work belongs where.

Should a small business hire a virtual assistant or automate?

Automate the admin that follows the same steps every time, and hire a person for the work that needs judgement, a phone voice or a relationship. Most businesses need some of both, and the mistake is paying a person's hours for the first kind.

The first kind is easy to spot. It is the admin you could write a checklist for:

  • Retyping enquiries from email and web forms into your CRM
  • Chasing quotes that have gone quiet
  • Follow-ups that get missed when the week gets busy
  • Copying the same customer details between two or three tools

What does a virtual assistant do better than automation?

A person handles the exceptions. The customer who wants something you do not normally offer, the supplier who needs a phone call, the booking that has to be moved around three other people: none of that follows a fixed set of steps, and software set up to guess at it makes mistakes a person would not.

A good assistant also notices things. If the same complaint keeps coming in, they can tell you. Automation only does what it was set up to do.

What does automation do better than a virtual assistant?

Automation does the repeat steps the same way at any hour, and it does not fall behind when enquiries spike. An enquiry that arrives at 9pm on a Sunday lands in one inbox and one queue, the customer record fills itself in, and the follow-up goes out on a timer instead of when someone remembers.

It still needs watching. Everything we run reports a heartbeat and pages us when it stops, so we usually know before you do.

Can you use a virtual assistant and automation together?

Yes, and for most small teams that is the best result. Automation takes the repeat steps, so the person you hire spends their hours on calls, customers and exceptions rather than on copy and paste. It also makes the assistant's job easier to hand over, because the routine part no longer lives in one person's head.

How do you work out which tasks to automate?

List a normal week's admin and mark each task as either "same steps every time" or "needs a judgement call". The first list is what automation is for. That is what the free diagnostic call does with you: 30 minutes, then a written plan, with no charge and no obligation.

How long does it take to automate one task?

A single workflow is typically live in one to two weeks, and a quick setup is normally done inside a week. Larger automation systems take four to eight weeks. It takes about two hours of your time in total: the diagnostic call, giving access to the tools involved, and one review before go-live.
