Property education · funnel and AI content system

Every lead in one email list, and an AI that watches 227 channels

Leads that used to fall between tools now land in one email list, and a system watches 227 channels and drafts the team's next script. Live since June 2026.

The problem

An educator selling property-investment courses and consultations to buyers in two languages was running on tools that did not talk to each other. Leads sat in the funnel without reaching the email list, forms broke without anyone noticing, and nobody could say which ad paid off. Separately, the team needed fresh content ideas, and watching what competitors post, every day, was a job nobody had time for.

What they asked for

Connect the website, funnels, forms and email list so every lead is followed up, then help the team find what is working in their market and turn it into their own content, faster.

What we built

  • The funnel side: every funnel sign-up now passes through Zapier into the email list in Mailchimp, so nobody sits in the funnel tool alone and nobody exports a spreadsheet by hand.
  • Google Analytics 4 set up across the site and the funnels, with a lead event proven live and a booking event installed, so it is clearer which source pays.
  • A booking-form fix for phones: a dropdown whose choices fell off the bottom of the screen became tap-to-pick buttons, checked live on a phone.
  • A repaired link from the website forms to Mailchimp after a key tied to one person's seat stopped working, and a monthly check of every form, sync and text-message step with a screenshot for each.
  • The content side: a system that checks 227 public channels on a schedule, keeps their history, and flags a post only when it beats that channel's normal level at the same age.
  • Each flagged post goes to Claude for a plain breakdown: the hook, the structure, the reason it travelled.
  • From that breakdown, the system drafts hooks, titles and a full script written against the client's own brand guide and back catalogue.
  • A monthly market update, assembled from four published market reports that are collected automatically, handed over as a draft for a person to review.
  • Branded property reports for 29 addresses, downloaded and matched to each address.

What changed

  • Funnel sign-ups reach the email list through Zapier, instead of staying stuck in the funnel tool.
  • People can finish the booking form on a phone.
  • A breakout in the market reaches the operator on WhatsApp instead of waiting for someone to scroll past it.
  • The team picks a hook and a title and edits a draft, instead of starting from a blank page.
  • A month's market research arrives as a draft to approve rather than a day of chasing reports.

How it runs

  • The content system runs around the clock on its own server and checks every channel on a fixed schedule.
  • An alert lands in WhatsApp. The operator replies in the same chat to pick a hook, pick a title and approve the script. A person decides every time; nothing is published for them.
  • We run it month to month on a retainer: checking the forms and syncs, fixing what breaks, and tuning what gets flagged so the alerts stay worth reading.

Tools involved

ClickFunnels · Zapier · Mailchimp · Twilio · Google Analytics 4 · Claude · WhatsApp

The content-system counts were read from its live database on 17 October 2026, and the contact count is from a 3 September 2026 check. Its post history starts on 11 September 2026, when it was rebuilt, so its 20,027 stored posts are not a count since launch. Most alerts are never opened: of 600, 29 became an approved script and 563 are still unopened, so the value is in the few that do, not in volume. The monthly updates are drafts that a person reviews and sends. We have not measured revenue or sales from any of this, so none is claimed. The client is not named and the channels watched are not listed, by agreement. What the client pays is not published.
